This Privacy Policy explains how Robin8 (“Robin8,” “we,” “us,” or “our”) collects, uses, stores, and protects information when you use Robin8’s websites, applications, and services.

1. Information we collect

Depending on how you use Robin8, we may collect:

• Company and PR information you submit, including company profile details, positioning, audiences, founders, milestones, media preferences, and campaign inputs.
• Product usage information, including searches, generated content, saved versions, outreach activity, and feature usage.
• Technical information such as IP address, browser type, device information, timestamps, and service logs.
• Integration information when you choose to connect a third-party service such as Google.

2. Google account and Gmail data

Robin8 only accesses Google account data after you explicitly authorize access through Google OAuth.

For Gmail integrations, Robin8 may request permission to:

• Identify the Google account you connect.
• Send outreach messages that you approve through your connected Gmail account.
• Access Gmail data needed to support reply detection and outreach follow-up features when those features are enabled.

Robin8 is designed to use Gmail access for Robin8 outreach workflows, not to provide a general-purpose email client. Our intended processing is limited to the information reasonably necessary to send Robin8 outreach and support reply-related functionality for Robin8 outreach.

3. How we use information

We use information to:

• Provide, operate, secure, and improve Robin8.
• Create and maintain your company profile and workspace.
• Run journalist, creator, media, and other PR-related searches and matching.
• Generate PR content, outreach drafts, media materials, and related recommendations.
• Send outreach through integrations you connect and actions you authorize.
• Provide reply-tracking or outcome-related functionality when enabled.
• Administer subscriptions, credits, billing, fraud prevention, and support.
• Comply with law, enforce our agreements, and protect users and our services.

4. How we use Google user data

Robin8 does not sell Google user data. Robin8 does not use Google user data for advertising. We do not allow humans to read Google user data except where necessary for security, support requested by the user, compliance with applicable law, or where the user has explicitly permitted such access.

Google OAuth tokens are kept server-side and are stored in encrypted form. They are not intentionally exposed to browser JavaScript or to other Robin8 users.

5. Sharing of information

We may share information with service providers that help us operate Robin8, such as hosting, database, payment, security, communications, and AI infrastructure providers, subject to appropriate contractual and security safeguards. We may also disclose information when required by law or to protect rights, safety, and the integrity of the service.

We do not sell personal information or Google user data.

6. Data retention

We retain information for as long as reasonably necessary to provide the service, maintain legitimate business records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and account status.

If you disconnect a Google integration, Robin8 stops using that connection for future Google API calls. Certain historical Robin8 records, such as outreach status or audit records, may remain where necessary for product functionality, security, accounting, or legal compliance.

7. Your choices and rights

Subject to applicable law, you may have rights to access, correct, export, or delete certain personal information. You may also disconnect a Google integration within Robin8 and may revoke Robin8’s Google access through your Google Account permissions.

You may contact us to request deletion of account or integration-related information where applicable.

8. Security

We use administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, and we cannot guarantee absolute security.

9. International processing

Robin8 and its service providers may process information in countries other than the country where you live. Where required, we use appropriate safeguards for cross-border data transfers.

10. Children

Robin8 is intended for business and professional use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

11. Changes to this policy
